These Terms and Conditions ("Terms") govern the use of the services provided by Bromley Virtual Hub Ltd (trading as Sevenoaks Virtual Hub) ("we", "us", "our") through this website (the "Website"). By using our services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our services.
We may update these Terms from time to time. Changes take effect when posted on this page, and the “Last Updated” date reflects the effective date.

2. Service Description
Our services include:
a. Virtual Office Address
- We provide a prestigious business address that can be used for your company's registered office, trading address, or any other business correspondence.
- This address cannot be used for any illegal or unethical activities.
- You are responsible for ensuring that all mail sent to this address is handled appropriately.
- Correspondence use only: Our address is provided strictly as a correspondence address. It must not be used or represented as your residential address or place of personal residence. You acknowledge that you do not reside at our premises and agree not to state or imply otherwise to any third party.
b. Mail Handling Services
- We receive, sort, and process all mail sent to your virtual office address.
- Mail is scanned and forwarded to your designated email address within 24 hours.
- Physical mail is stored for up to 3 months before being disposed of, unless you request otherwise.
- For packages and larger items, we will notify you upon receipt, and you must arrange for collection within 14 days.
- We reserve the right to refuse handling of any mail that is illegal, hazardous, or violates our terms.
c. Virtual Phone Services
- We provide a dedicated business phone number with call forwarding capabilities.
- You can forward calls to any phone number of your choice.
- Number allocation and porting: Numbers are allocated under applicable Ofcom rules and managed via our carrier partners. Numbers may be ported out to another provider at any time in accordance with UK number portability regulations.
Where a number is ported out within the first six (6) months from activation, an early termination charge will apply, equivalent to the remaining minimum service fees for that initial six (6) month period, in order to recover allocation, provisioning, and service setup costs. Any setup or onboarding fees are non-refundable.
After the initial six (6) month period, numbers may be ported out without early termination charges. Porting follows standard industry processes and requires your account to be in good standing. - Emergency calling (999/112): Emergency calls placed over VoIP may be unavailable or may fail during a power or broadband outage, and may not transmit accurate location information. Where possible, use a mobile or traditional fixed line for emergency calls.
- Fair usage: If your plan includes any “unlimited” features, these are for normal business use only. We may restrict or suspend service in cases of misuse (e.g., auto-dialers, bulk marketing/nuisance calling) or usage that materially exceeds typical business patterns.
- WhatsApp Business integration: Subject to WhatsApp policies and approval. We assist with setup, but availability and continued access may vary and cannot be guaranteed.
- We offer a user-friendly software platform for managing your virtual phone number, including call routing, voicemail setup, and analytics.
- Technical support for the software is available during business hours.
- Additional features and services may be available at extra cost.
d. Software & Technical Consultancy Services
- We offer expert advice and support for your software and technical needs.
- Services include software selection, implementation, ongoing support, troubleshooting, system optimization, and training.
- Services are provided on a project basis or through retainer agreements, as mutually agreed.
- Fees for these services are billed separately and are subject to our standard rates.
e. AI Chatbot
- Our AI Chatbot may process conversation data to provide responses and improve service quality. Do not submit sensitive information.
- Availability is provided on a best-efforts basis without an SLA unless otherwise agreed.

3. Pricing and Payment
- Prices are listed on our Website and are inclusive of VAT.
- Payments are due monthly or annually based on your subscription, with auto-renewal unless canceled.
- Late payments may incur interest at 8% above the Bank of England base rate, calculated daily.
- We may adjust prices with one month’s notice, reflecting changes in VAT or external costs (e.g., Royal Mail fees).
Free Trials
- One trial per customer/business. A free trial is limited to a single customer, business, or related entity (including associated directors/owners). We reserve the right to determine eligibility at our discretion.
- Payment method may be required. We may require a valid payment method to start or continue a trial. Unless you cancel before the end of the trial, your plan will automatically convert to a paid subscription at the price shown on the Website.
- Duplicate sign-ups. Subsequent sign-ups after a trial has already been used will either (a) start on a paid plan immediately, or (b) have the trial removed. We may cancel duplicate accounts to prevent abuse.
- Past-due or prior unpaid accounts. If any previous subscription is in arrears or has unpaid invoices, you are not eligible for a new trial.
- Early termination. We may end a trial early in cases of misuse, breach of these Terms, or where operating costs are incurred without genuine intent to use the service.
- No cash alternative or refunds. Free trials have no monetary value. If you cancel during a free trial, access ends immediately and no charges will apply. We may withdraw any remaining trial days at our discretion. No refunds or credits are due for any unused portion of a trial. This does not affect your statutory rights.
4. Term and Termination
- Monthly plans can be cancelled at any time. Cancellation takes effect at the end of the current monthly billing period, and we ask for at least 14 days' notice before the next billing date. Annual plans are prepaid and non-refundable.
- Subscriptions auto-renew monthly or annually unless cancelled by providing written notice at least 14 days before renewal.
- Non-payment and suspension: If any payment is overdue or fails, we may suspend some or all services (including mail handling, scanning, forwarding, and phone services) until payment is brought up to date. Suspension does not affect your obligation to pay outstanding amounts.
- Termination for breach: We may terminate the services with immediate effect for material breach of these Terms, including non-payment, misuse of the address, illegal activity, or failure to comply with applicable laws.
- Effect of termination: Upon termination for any reason, your right to use our address immediately ends. You must remove our address from all websites, stationery, directories, marketing materials, and official records (including Companies House) within fourteen (14) days.
- Unauthorised continued use: Any continued use of our address after termination or withdrawal of permission is unauthorised. We do not accept responsibility for mail, service of documents, or correspondence received after termination.
- Companies House notification: If you fail to update your registered office address or otherwise continue to use our address without authorisation, we reserve the right to notify Companies House or other relevant authorities that you are no longer entitled to use the address.
- Mail after termination: Following termination, we may hold mail for up to fourteen (14) days for collection. After this period, mail may be returned to sender or securely destroyed without further notice.
5. User Obligations
- Provide accurate and up-to-date information, including proof of identity (passport/driving license) and address for AML checks.
- Service activation is subject to successful completion of identity and AML verification. We may delay activation, restrict access, or suspend services until verification has been completed.
- Use services only for legitimate business purposes, not for illegal, immoral, or reputation-damaging activities.
- Comply with all applicable laws, including data protection and anti-money laundering regulations.
6. Data Protection
- We process personal data (e.g., names, addresses, IDs, bank details) per our Privacy Policy, available on our Website.
- Data is retained for 6 years for legal compliance, used for service provision and administration.
- You have rights under GDPR, including access, rectification, erasure, and objection; contact us for data-related queries.
7. Anti-Money Laundering
- We require proof of ID and address for all directors, partners, and shareholders, with fees starting on onboarding.
- If checks fail or you cancel post-onboarding, we retain one month’s subscription fee.
8. Liability and Disclaimers
- We are not liable for loss of profit, business interruption, or indirect/consequential losses.
- Our total liability is limited to the amount paid by you in the last 12 months or £100, whichever is lower.
- We exclude liability for death, personal injury, fraud, or matters we cannot legally exclude.
9. Governing Law
These Terms are governed by English law, with disputes subject to the exclusive jurisdiction of the courts of England and Wales.
